A step-by-step guide to checking out

Everything you need to know

It's nearly time to say goodbye to your uni room, and we want to make the check out process as smooth as possible. Here's our ultimate guide to checking out: 

Step 1: Grab a checkout envelope from reception

Before you do anything, head to reception and pick up a checkout envelope if you don't have one already, these are usually found at the front desk. Make sure you fill out all the details in full on the front of the envelope if it has not been pre-filled: 

  • Your full name (the same one on your student ID)
  • Your room number (e.g. GP1-2-A-1) 

This is to make sure we record the correct details for you.

Step 2: Get your room ready

Tick off our handy checklist to make sure you have left your room and flat in expected condition to avoid any additional charges. Once you have cleaned up, please carry out a final check and follow these instructions:

  • Make sure you have no outstanding accommodation fees
  • Report any maintenance issues (including bulbs out, toilet flush issues and broken toilet seats)
  • Clear all belongings
  • Donate any unwanted clothing in the British Heart Foundation stations
  • Make sure the taps and shower are turned off
  • Turn the radiators off
  • Open the blinds
  • Dispose of any food items you're not taking with you
  • Turn all lights off
  • Close the windows
  • Lock the room door as you leave (if you leave your room unlocked, you'll still be liable for any damage that happens after you've moved out) 
  • If you have a bike, collect it from the bike store

You must remove all belongings by 9am on the move out deadline. Items left will be disposed of in accordance with the terms and conditions of the Licence to Occupy. 

Step 3: Complete your checkout envelope

Fill out your checkout form and make sure all details are correct on your envelope. If you have misplaced your checkout envelope at any point, please collect a new one from reception. 

If you have a temporary access card, please return this in the envelope. However, do not return your student ID card. 

Step 4: Return your checkout envelope

You have two easy options: 

  • Hand it directly to the reception team
  • Or drop it into the post box in the reception area

Once that's done, you're officially checked out! 

Step 5: We'll carry out an inspection

After you've moved out, the team will carry out an inspection, therefore you need to make sure your room and flat match the condition they were in when you first moved in. 

If the condition of your room or flat does not match the inventory completed at the start of your License, there will be extra cleaning or damage charges. Here's how to avoid any unnecessary charges, follow the guidelines: 

  • Read what damage and cleaning charges could be applied, this shows what we will be looking for. 
  • Clean your room to our checklist standards, and clear up any issues over damages with your flatmates before you leave. 
  • Remove all your rubbish from the building and place it into the external bins provided, making sure you separate the waste into the relevant recycling bins (where possible). 
  • Remember you can donate any non-perishable food to the foodbank; look out for the collection boxes in hall receptions. 
  • If you have any reusable items that you don't want, you can donate them to the British Heart Foundation using the red pop up bins in hall receptions. See what you can donate here
